Applicant Privacy Notice
Introduction
Corbion NV, a corporation incorporated and located in the Netherlands, and its subsidiaries (click here for the overview), including Corbion China, are referred to in this Privacy Notice ("Notice") as "Corbion". Corbion Trading (Shanghai) Co., Ltd. ("Corbion China") and Corbion NV are the joint processors of your personal information and are collectively referred to in this Notice as "we" or "us". Through this Notice, we wish to tell you how we use the personal information you submit when you apply for a job or create a profile on our recruitment platform.
What information do we collect and how do we use this information?
We only collect personal information relevant to assessing and proceeding with your application for the following purposes. When you apply for a position with us or submit personal information in support of your application, we will tell you whether the personal information we are requesting is essential so that we can proceed with your application or whether the supply of this personal information is optional. If you are not able to provide us with personal information we consider essential, we may not be able to proceed with your application.
You consent to our collection and use of your personal information (including sensitive personal information) for the purposes and in the manner as described above. In each case, we will make sure that the processing of your sensitive personal information is for specific purposes as described in this Notice and is necessary. We will take strict security measures when processing sensitive personal information and such processing will be conducted in a manner having the least impact on your personal rights and interests.
Where you provide the contact details (if any) of your families, your former employer(s), and your reference(s), you should obtain their explicit consent, where necessary, to the processing of their personal information for the purposes as described above.
Apart from personal information, we will collect your desired terms of employment, including preferred country of employment, desired salary, desired compensation, areas of interest, date of availability, etc., for the purpose of managing our recruitment process and so that we can take steps at your request prior to entering into a contract.
How do we collect this information?
We may collect your personal information directly from you or may collect personal information about you from third parties, such as headhunting agencies. We will ask such third parties to advise on the source of personal information for verification and ensure that they have obtained your consent to the provision of such personal information to us as well as to the processing of such personal information by us (to the extent that such consent is required by law). Except as expressly permitted by law, we will not process such personal information until we receive confirmation that the relevant third parties have already obtained your consent. If the purposes for which we process the personal information are not covered under the scope of consent obtained by the third parties, we will seek or will ask such third parties to seek your consent before we process your personal information for such additional purposes.

How long do we keep this information for?
We will collect and keep your personal information when you apply for a vacancy and you may be asked to create a profile on our recruitment platform. We only retain your personal information for the minimum period as necessary for the purposes for which the personal information is being processed. We usually retain your personal information with respect to a particular vacancy for a maximum period of 3 (three) years from the end of application procedure, unless you give us permission to retain your personal information for longer to be considered for other vacancies or if we are required to retain your information for longer periods based on applicable laws. Sensitive information concerning your health and family background will be deleted as soon as you are no longer being considered for a position with us.
Notwithstanding the foregoing, if your application is successful, relevant personal information will be used for the purpose of administrating your subsequent employment and will be retained and used in accordance with our Privacy Policy Employee Data (a copy of which will be provided to you when you take up your employment).
You may also create a profile on our recruitment platform without applying to a particular vacancy. In this case, we will keep your personal information for 1 (one) year of inactivity in our recruitment platform (i.e. from the date of the last log-in to your account) unless the applicable laws require a shorter or longer retention period.
Whom do we share this information with?
Corbion NV operates its global business with its group companies incorporated and located in multiple jurisdictions (read more here), including outside of Peoples' Republic of China ("PRC" or "China", which, for the purpose of this Notice only, excludes Hong Kong and Macau Special Administrative Regions and Taiwan). Therefore, your personal information may be transferred outside of China.
Corbion China and Corbion NV, as the joint processors of your personal information, will share your personal information (including sensitive personal information) with each other for the purposes described in this Notice in a cross-border manner. We may also share your personal information (including sensitive personal information) with other Corbion group companies located outside of China, where this is necessary to manage our recruitment process. With respect to these overseas Corbion group companies, you may contact them at privacy@corbion.com to exercise your rights for the protection of personal information as provided by applicable laws and regulations.
Your personal information will also be shared with our service providers and professional advisers such as headhunting agencies. For a list of the third parties with whom we may share your personal information (including sensitive personal information), please contact privacy.china@corbion.com.
Among other necessary circumstances, we may store and process your personal information (including sensitive personal information) in global systems by way of cross-border transfer. You may contact us or the hosts of these global systems to exercise your rights for the protection of personal information as provided by applicable laws and regulations. You consent to our provision of your personal information (including sensitive personal information) to other personal information processors or cross-border transfer of your personal information (including sensitive personal information) to overseas entities in another country/region.
We will ensure that your personal information will be protected according to at least the same standards of protection as provided in China, such as appropriate contractual arrangements or personal information protection certification. To secure the cross-border transfer of your personal information, we rely on various additional personal information protection measures; if required by applicable laws, we will also conduct a security impact assessment prior to the cross-border transfer. Your rights
You are entitled to ask us for an overview or a copy of your personal information. In addition, you may request us to correct or delete certain personal information, restrict processing of your personal information, ask about personal information which we may have shared with any public or private third parties or, in certain circumstances, ask us to transfer some of your personal information to other personal information processors. In some cases, you may object to the processing of your personal information and, where we asked for your consent to process the personal information, you can withdraw this consent at any time. You may also request us to explain our rules concerning processing your personal information.
There are some exceptions to these rights, however. In addition, specific rights may not apply to a specific situation. For example, it will not be possible for us to delete your personal information if we are required by law to keep it or it is technically difficult to delete. In this case, we will cease processing your personal information except for storage and the taking of necessary security protection measures. Similarly, access to your personal information may be refused if making the information available would reveal personal information about another person or if we are legally prevented from disclosing such personal information.

We may amend this Notice from time to time and will inform you about any material changes, either via the e-mail address you have provided to us or through your respective Corbion contact person.
